for this event to be a success, we need atleast 15 vehicles with family or friends.
i suggest we organize everything through a small event management company, all the things, like hotel bookings, sightseeing (?), beach forays, vintage Goa, competitions, campfires, et all.
but i need confirmations, then we create a online account, for the booking amount, after working out the costs.
what say guys, suggestions welcome

whitemm, for getting more confirmations, there should be a tentative plan. People will get some idea of the dates, cost etc and then more response will come.

For example. Something like this

Hotel Goa International
Plan - Arrival Aug 15 Thursday evening, Departure Aug 17 Saturday evening.
2 nights stay will cost Rs 3000 per person including breakfast and dinner. No lunch, no drinks.
For additional nights or 1 night stay - charges will be Rs 2000 per night.

Goa city tour - on Aug 16th. Rs 500 per person.

I'm just putting some figures for example.
If you can get an approximate figure like this from some hotel or event management company and give a tentative dates and cost, more response and confirmations will come.

.. if we get the dates and the $$ for planning the budget, it would mean a more confirmed number. I am right now on the wall, and believe a lot of the tentative list members too are on the wall and if we get some numbers to work with, they will move either ways.

Okk. Now goa has a host of hotels and resorts
we can hook up for anything from 1000 per room per night to 10k per room per night. Now i know a couple of guy who have apartments on rent too. 1 bhk or 2 bhk for around 3k per nite. This is without any food plans. We might need someone to organise the sightseeing too. As i would be busy organising the MGE and Authentic Goa escape

The last time I was in Goa I stayed in an apartment like this and didn't enjoy it as much as I would have enjoyed a proper hotel or guesthouse with facilities.
Can you suggest some good resort maybe that will be accommodate a large number of people and give good group discounts?

Also we need it tobe affordable for everyone, so something in the range of 2000-3000 per room would be ideal. Knowing that this is the off-peak season we are planning to go in, this is easily achievable and rooms for even less can be obtained if you have contacts.

Since we are going there as different convoys and reaching there from different cities, there should be some arrangement for everyone to have a get-together and meet everyone else. Otherwise everyone will be only with their own families/friends circle and won't end up having as much fun.

What I suggest is to have a beach party (book a private beach resort) with indoor facilities as well, because at this time of the year it's definitely going to rain intermittently. That way we can get accommodation and party facilities in the same location.
I also strongly recommend South Goa against North Goa simply because it's more beautiful, it has better beaches, it's less commercialized, and it will be less crowded.

Sorry, I think I'll have to pull out of this one. That Aug 15th weekend is a popular long weekend and all resorts everywhere are filling up quickly. If I'm doing the booking for some place, I can't wait any longer. It may even end up being in Goa, in which case I'll catch up with you folks directly, depending on the actual meet day .
