Suggestions

Accomodation for 50 people would not be too difficult but the guys will have to sleep dormitory style and the women can have the two private bedrooms.
What do you guys think?

With this number of vehicles on the trail we might have to split the number into groups and assign group leads who are familiar with the terrain.

Like Pdev said splitting the gang up will actually be more of a logistics nightmare and no fun.

Instead we will all leave together and tackle the trail in convoy one behind the other.

That way we can help each other in the case of any event.

I am eager discuss things with all the guys coming for this weeks recce so i can post all the final details by mid next week.
Hi Kunal,

My suggestion is Please don't Cap the number of participants.

Keep a cut-off date for confirmation (by payment), those who are late can participate in the OTR and will have to fend for themselves.(Food & Boarding)

wrt. the Trail.

Assign a Leader and Tail for each set of vehicles(5-10) and have a staggered start, first batch leaves, followed by second batch after (10/15/20/30mins), and so on.

This way the participants will not have to wait for too long at the obstacles, and every one is with in earshot after the first few obstacles.

Regards,

Arka

PS - If possible you can tie up with a lodge/guest house hotel near by for boarding, in case the numbers shoot up.

Thanks for the suggestions arka.

I will use these valuable suggestions.

I had thought about assigning team leaders and doing staggered starts for obvious reasons and had planned to discuss it with some of the guys who have done the earlier recces the coming saturday.

The bit about the vehicle cap and cut off date is a excelent idea and i guess proven at TPC!

Guest houses will not work though as we are quite interior and places with boarding are a good way off.

Staggered start is the way to go! For example

12 cars in Group-A led by Kunal/Tejas/Mohan : Start time 6:00am

Breakfast at 8:00am at suitable point on the trail

12 cars in Group-B led by Allan/Devang/Khan : Start time 7:00am

Breakfast at 9:00am at suitable point on the trail (and possibly re-group with Group-A)

Re-Group for lunch at 2:00pm

Proceed from there...

Just a thought.

A good idea...but food will be served hot at base breakfast on the trail will be difficult especially if it is raining.

Lunch however will be on the trail as heading back to base midway will be almost impossible.

My suggestion would be to take a first crack at discussing the logistics during the recce this weekend and then putting a draft out to the experienced organizers for a review.

This thing will become a multiheaded hydra if we try to reach consensus post by post.

And btw my passenger has agreed to come without brainwashing! Going to Delhi this week to load her (the cj3b not the wife) on a truck.

I'll try to get you a large ice-box this recce. You can use it for keeping the lunch beverages cool.

I will by mid next week have all the details posted.
  1. the cost per person
  2. Directions to the Farm
  3. The Itinerary
  4. Maximum number of people we can accomodate(Those who dont get accomodation could rough it out in tents pitched on the farm).
  5. The do's and dont's(dont worry we will have a few basic rules and i trust everybody will follow)
I would rather not have too many inputs as time is short and the actual planning on the ground is being done by one man ,plus everybody likes to do things differently.

If things happen perfectly great!

In all practicality this is highly unlikely and some minor glitches are to be expected.

But i Gaurentee you this.
  • A well planned trail with different terrain and obstacles which will test the skills of even the most expericenced guys.
  • Great Company!
  • Good food!
  • peace and quiet
  • Bonfires every night
  • Beautiful views
  • A river to swim in (for the Swimmers among us)
  • A learning experience.

Guys why not make this a 2 weekend event!!
26-27th June followed by 3-4th July..!!
Double the fun.. it gives some the option of coming for the second weekend..
That way there isnt need for a cap on the attendees either..!!

I guess if Kunal splits the event into 2 weekends, then the guys from out of town may not be able to attend both the venues...

Because there is a bunch of people coming from out of town who need to get back as well as the hassle of arranging logistics/catering again?

We can anyway go offroading the next weekend!

This is just not possible the event is on the 25th 26th and 27th.

Let's look at it this way guys, I can accomodate roughly 45 people as per my calculation dormitory style, and have two private bedrooms which the ladies can use.

We will have to be good hosts and give the out of town guys who are driving down first priority for accomodation as they would have a long journey back home.

The bombay guys are tough and roughing it out will be good for their constitution
